Events Administrator


The Events Administrator will be responsible for supporting Meetings & Events as well as Learning & Development through administrative tasks as identified below and otherwise called upon.


  • Monitor tasks and workflow for national events through SmartSheet. Keeps Marketing as applicable and Conference Managers informed on progress

  • Quality control for all Events printed materials (i.E. Serve as final set of eyes for typos, errors, etc.)

  • Maintain bio for all staff

  • Admin support for all events

  • Monthly financial reconciliation

  • Generate Learning Management System reporting

  • Tabulate and run reports related to evaluation for Events, Expenses, and ROI

  • Continued Education administration support

  • Support/Backup for Executive Administrator when he or she is out of the office (PTO)

  • Backup for Events Coordinators when they are out of the office (PTO)

  • Maintain up to date M&E inventory records at VIA

  • Timely replies to customer inquiries.

  • Administrative tasks as requested.


  • Associate s Degree or equivalent from a two-year college or technical school

    • Minimum of a one-year related experience and/or training; or equivalent combination of education and experience.

  • Preference will be given to candidates who have been exposed to event planning.

    • Excellent telephone communication skills, organizational skills, accuracy and the ability to focus on tasks.

    • Must possess experience and regular use of Windows, including Office (Excel, Word, PowerPoint, etc.) basic graphics and Internet applications.

  • Occasional travel may be required.
