SUMMARY

Provide day-to-day administrative support for engineering, operations and facility departments for various facilities located throughout the tristate area as well as the corporate headquarters. Focus is on providing efficient and timely service to tenants as well as employees.

RESPONSIBILITIES

  • Maintain preventative maintenance schedules.



  • Schedule meetings for various department team members.



  • Answer and direct phone calls; organize and schedule appointments.



  • Plan meetings and take detailed minutes; complete follow up tasks.



  • Write and distribute mail, correspondence memos, letters, faxes and/or forms.



  • Assist in the preparation of regularly scheduled reports.



  • Dispatch work, as needed or required.



  • Coordinate project management activities between facilities and tenants.



  • Develop and maintain office policies and procedures.



  • Maintain contact lists; update as needed.



  • Submit and reconcile department expense reports.



  • Assist team members with repair details; provide job-site support.



  • Maintain facilities related spreadsheets and databases.



  • Monitor ticketing system and organize incoming requests regarding maintenance, space requirements, construction and other issues.



  • Perform detailed inspection of corporate building to ensure upkeep with maintenance and custodial issues.



  • Respond to any building emergencies; i.E., severe weather conditions, medical/fire, etc.



  • Practice time management to ensure meeting position and project deadlines.



  • Act as the point of contact for internal and external clients.



  • Liaise with executive and senior administrative employees to handle requests from senior management.



  • Work schedule may include occasional evenings and/or holidays as well as early mornings, nights and/or weekends for emergencies and/or events and may be modified based on need.



  • Other duties may be assigned, as needed or required





QUALIFICATIONS

  • Associate Degree



  • 2-5 years experience



  • Strong customer service background



  • Ability to work as independently as well as a team



  • Strong communication skills



  • Attention to detail



  • Flexibility with working schedule/hours
