The Human Resources Administrative Assistant performs a variety of highly responsible, confidential and complex administrative tasks working in close relation with the assigned executives. Accountable for performing administrative duties such as answering phone, filing, preparing routine correspondence, presentations and utilizing spreadsheets to format and analyze information. The HR Admin must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.


  • Maintains Manager s private calendars, schedules meetings, monitors the calendars to identify and eliminate conflicts.

  • Acts as a front-line "barometer" for HR, having a sense for the issues taking place in the environment and keeping the Managers updated.

  • Sourcing talent as assigned by Manager Global Talent Acquisition, scheduling phone and in-person. Candidate interviews, keeping an updated document workflow in Applicant Tracking System.

  • Assist in new hire process and on-boarding including associated documentation and system updates.

  • Prepares itineraries and travel documentation / packets for domestic and international travel, including preparation of travel and expense reports.

  • Accurately and promptly updates personnel systems and reports as assigned.

  • Maintains HR Confidential Personnel file room.

  • Assists Managers with the development and maintenance of presentations, dashboards and reports

  • Sort s mail, screens phone calls, and refers to appropriate person.

  • Codes and submits HR invoices.

  • Orders supplies.

  • Composes, proofreads, and prepares routine correspondence.

  • Organizes and leads corporate events such as Birthday lists and Holiday Partys.

  • Keep lunch room and pantry stocked and clean.

  • Functions as backup receptionist.

  • Performs special assignments upon requests which may include providing assistance to other executives or groups when asked.


  • Associate s Degree required, Bachelor s degree preferred.

  • Administrative experience is required.

  • Proficient in Word, Excel, Outlook and PowerPoint.

  • Results-oriented.
