SUMMARY

The Records Retention Specialist is responsible for ensuring systematic control of company records from their creation to final disposition in accordance with all applicable legal, operational, technical, and historical requirements in a cost-effective manner. This includes the effective and appropriate management of the Records Retention program and systems and all associated implementation and improvement projects. The Records Retention Specialist is also responsible for administering training and continued improvement by continual interaction with functional departments and business units.

RESPONSIBILITES

  • Establish and maintain records retention schedules, policies, procedures and manuals (i.E. Records and files arrangements, classifications, and storage both paper and electronic) to ensure records inventory is adequately controlled in accordance with legal requirements



  • Works with functional departments and business units to evaluate and create strategies for complying with established and emerging regulations regarding records storage and maintenance



  • Develop, recommend and implement changes and improvements to the Records Retention program and systems



  • Partner with functional departments and business units for all major information repository systems across the company to ensure that records management functionality appropriate to the records/information assets they support is included in system design. Advises program managers and IT managers on metadata requirements necessary to achieve this functionality



  • Assist users in the application and implementation of record retention policy, procedures and techniques, including filing systems, indexing and central records storage, retrieval and disposition



  • Provide consultation for all Record Retention issues and concerns



  • Administer the day-to-day coordination of deposit, retrieval and disposition of offsite records storage, including preparation, entering, indexing retrieval, returns and destruction of records from Records Retention Database. Maintain integrity of the database



  • Train new users on the Records Retention Procedures and Schedule



  • Conduct analysis and resolution of complex records management problems. Analyzes system reporting to track program performance.



  • Create regular communications to keep users informed and updated.



  • Conduct annual facility visits, including visits to storage company if documents are stored off site





QUALIFICATIONS

  • Required 5+ years of experience in electronic and paper records management



  • Bachelor's in Records Management preferred, or similar field of study preferred



  • Certified Records Manager (CRM) certification is a plus, but not required



  • Team oriented with excellent communication and interpersonal skills combined with the ability to work with many different people



  • Excellent research, analytical, problem solving, process improvement and organizational skills



  • Ability to create and carry out detailed action plans, and verbalize the steps in an articulate manner
